Job Description
The objective of the role:
The project specialist/coordinator is an integral member of the project team responsible for directing, organizing, and controlling project activities, under the direction of a project manager.
List of responsibilities:
● Assist the project manager in the drafting and issuance of project proposals, budgets, cash flows, preliminary schedules, invoices, etc.
● Prepare project organization and communication charts.
● Attend projects meetings and assist with the determination of project requirements and distribute minutes to all project team members.
● Communicate relevant project information to the client and project team.
● Deliver goods to clients.
● Track the progress and quality of work being performed by the engineering and procurement departments.
● Track and manage contemplated change notices and change orders in the database.
● Monitor projects plans, work hours, budgets, and costs.
● Ensure clients’ needs are met in a timely and cost-effective manner.
● Maintain contract execution tracking log.
● Keep the project manager and others informed about project status and issues that may impact client relations.
● Check received documents from the engineering department, in terms of documentation and format required by the customer as per contract procedures (DCC), and send them to the client.
● Prepare substantial work completion certificates and ensure all required project close-out documents are obtained.
● Prepare reports for the project manager.
● Archive all project documents and keep them updated.
● Assist the procurement manager in the inspection of the procured equipment, if needed.
● Assist the project manager in the review of contractors’ quotations to ensure that only fair and reasonable pricing is recommended for approval.
● Issue contracts of contractors and check their reports and invoices.
● Review site reports from the engineering department and contractors throughout the lifecycle of the project.
● Report to the project manager.
● Probation period: 3 months.
● Working hours: Saturday to Tuesday from 8 am to 5 pm; Wednesday from 8 am to 4 pm.
● Travel requirements: Occasional travel inside the country.
● Number required: 2 (1 for Telecom. Department & 1 for F&G Department).
● Desired start date: ASAP.
