Provide direct support to the CEO of SnappFood and manage the CEO calendar, including time, tasks, and scheduling all appointments and meetings.
Organize and maintain diaries daily, make appointments, meet and greet visitors at all levels of seniority, screen phone calls, respond to inquiries and requests, and escalate them when appropriate.
Deal with incoming emails, faxes, and post, typewriter letters, and may correspond on behalf of the CEO.
Organize and attend required meetings and ensure required presentations and narrative documentation are well prepared for meetings.
Prepare minutes of meetings and produce memos of such for review.
Follow through with allocated tasks and ensure appropriate and timely action on deliverables.
Interact with SnappFood stakeholders and counterparts to arrange meetings and conference calls, with key operations colleagues, and internal managers.
Arrange travel plans and itineraries, schedule, and meetings seamlessly
Prepare and provide weekly, monthly, and ad-hoc reporting on different activities.
Maintain confidentiality of highly sensitive information.
Manage complex office administrative work requiring the use of independent judgment and initiative.
Maintain an effective computer-based filing system and manual filing system (where appropriate).
Responsible for the overall direction and coordination of administration.
Requirements
At least a Bachelor's degree in Business Administration, or any related field.
At least 4+ years of experience as an executive assistant, personal assistant, or secretarial experience at the CEO, director, and/or senior leadership level or previous coordination experience.
Strong computer skills.
Proficient in MS Office.
Excellent communication skills (verbal-written).
Ability to document and file systems (manual and digital).
