Job Description
Must be mindful of procedures and regulations involved with their work
Answering domestic and international calls
Logging incoming calls and reporting to the supervisor
Making calls to clients, staff and managers
Organizing internal meetings
Reminding the manager of their meetings
Organizing the manager’s meetings and following up on it
Organizing conference rooms and the necessary equipment prior to meetings
Work correspondence through email
Drawing reports as per need of the manager
Drawing draft correspondence for the manager’s review and approval
Receiving internal memos and office mail
Indexing received and issued mail and recording in the mailroom
Managing send and receive of all fax mail
Constantly monitoring consumables in the office
Following up the manager’s orders until satisfactory results are born
Receiving guests and clients at the office
Organizing business trips for the manager (including all the bookings)
Logging visitor and reporting to the manager
Organizing packages needed to be mailed
Scouting for and organizing service providers for transportation, print and other daily office needs
Drawing reports on office budget and expenditure
Gathering necessary information to draw custom reports for the manager
Safekeeping all documentation and maintaining secrecy of business information and critical documentation
Managing purchase inquiries for the manager
Cooperating with the manager in order to scope any resources needed for the department to achieve its goals and the necessary budget
Conveying the manager’s orders to other staff
Positive input on current activities and proactively pursuing any mismatch or hurdles to be amended in the workflow
Generally carrying out the manager’s orders
