Over View:
The Personal Assistant is responsible for planning, coordinating, and following up on the executive and administrative activities of the B2B Business Line Managing Director. By effectively managing the Managing Director’s time, meetings, correspondence, information flow, and required actions, this role enables greater focus on strategic priorities and business development.
The ideal candidate should be able to work in a fast-paced, dynamic environment with frequently changing priorities. They must maintain strict confidentiality while building effective relationships with managers, internal teams, customers, and business partners.
Key Responsibilities:
Manage and regularly update the Managing Director’s calendar, meetings, and daily schedule.
Prioritize meeting requests based on business importance and urgency.
Coordinate internal and external meetings with managers, customers, business partners, and other stakeholders.
Arrange business trips, off-site meetings, and related activities.
Manage, categorize, and prioritize the Managing Director’s emails, messages, requests, and correspondence.
Draft and prepare professional emails, reports, and executive communications.
Respond to or redirect requests based on their level of importance, urgency, and confidentiality.
Communicate the Managing Director’s messages and expectations accurately and professionally to relevant stakeholders.
Coordinate events, management meetings, Leadership Team sessions, and special business-line programs.
Act as the primary point of contact between the Managing Director and department heads.
Identify delays, obstacles, or cross-functional dependencies and escalate them in a timely manner.
Maintain an organized flow of information and prevent requests or decisions from being overlooked.
Maintain full confidentiality of managerial, financial, commercial, and human resources information.
Handle sensitive information, confidential meetings, and restricted correspondence professionally.
Ensure that access levels are respected when sharing information and documents.
Maintain impartiality, accuracy, and professional conduct in interactions with managers and employees.
Requirements:
Bachelor’s degree in Management, Executive Management, Industrial Engineering, Business Administration, or a related field.
At least 3 to 5 years of experience in roles such as Personal Assistant, Executive Assistant, Office Manager, or Senior Coordinator.
Experience working directly with a CEO, Managing Director, Vice President, senior executive, or Leadership Team members.
Ability to manage multiple tasks and priorities simultaneously in a fast-paced and constantly changing environment.
Advanced proficiency in Microsoft Office, particularly Outlook, PowerPoint, Excel, and Word.
Familiarity with task management, calendar management, and team collaboration tools.
Experience working in large organizations, digital businesses, or e-commerce companies is considered an advantage.
