Job Description

The incumbent will be responsible for keeping employee documentation like contracts, amendments, letters, etc.; updating and archiving them properly; this position supports employees from onboarding in terms of document gathering and contract preparation. For current employees, the contract renewal should be checked with line managers, and new contracts should be prepared/printed based on new data (position/salary). A similar process should be done for HR dynamics.

Areas of Responsibility:

Prepare Contracts and Employee Documentation:

  • Renewal of Annual Contracts, probation period contracts, New Joiners Contracts, any change in position, salary after Mid-Year review, new role, and ASR letters.
  • Get updated forms signed by all staff e.g.: Internal regulations forms, confidentiality letters, code of conduct, and conflict of interest.

New Joiners and Hiring:

  • Liaise with candidates for required documents, pre-employment tests (police clearance, drug test, and occupational medicine), database for payroll, documentation for SSO& SOS, prepare Contracts, get required forms signed, and prepare personal files.
  • Registration process for new joiners (IA, Local, STA) - registration for change SSO branch for relocated employees.

Preparation of Employees Needed documents:

  • Embassy documents: introduction letter, SSO list Payslip.
  • Prepare reports for internal, and external auditors upon request (employee data, etc.).
  • Prepare letters and documents for the labor Ministry.

Archiving:

  • Keep the physical archive of employees, update and aligned with JSOX policy and confidentiality/privacy measures.

Requirements

Education:

  • Bachelor's degree in the related fields.

Work Experience and Competencies:

  • At least 2 years of experience

Languages and Computer Skills:

  • Fluent in English, especially speaking and writing.
  • Payroll knowledge.
  • Microsoft Office skills (Excel, Word, PowerPoint, etc.).
