Job Description

We are looking for a "Senior HR Admin" to make our human resources department more professional. You will act as the first point of contact for HR-related queries from employees and external partners. Your main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records), and updating internal databases.

Your Responsibilities:

  • Maintain and update all of the HR team's information systems.
  • Ensure that staff lists are up to date, and personnel files are complete, and assure adherence to the highest level of confidentiality.
  • Up-to-date files are to be maintained in both hard and soft copies.
  • Monitor the expiry of staff contracts and advise the Line Manager and Head of Mission in a timely manner.
  • Ensure timely collection of monthly timesheets as well as the timely preparation and submission of monthly payroll.
  • Maintain a master leave database, tracking all leave taken and ensuring the timely submission and approval of leave forms.
  • Collaborate in administrative and recruitment processes.
  • Develop, update, implement, and/or communicates personnel policies and procedures in compliance with standard HR practices, laws, and regulations.

Interview Processes:

  • Part1: HR Phone Call Interview (10 minutes);
  • Part2: Technical Interview (Online Interview: 40 Minutes);
  • Part3: Final Interview (On-Site Interview: 40 Minutes);
  • Part4: Job Offer (40 minutes)
  • Total duration: 3 to 4 days;

Requirements

  • At least 5 years of work experience in HR, or any related field.
  • Experience in MS Office, especially Word, and Excel.
  • Ability to work efficiently, under pressure and adapt to difficult conditions.
  • Planning and organizational skills.
  • Conflict resolution and negotiation skills.
  • Excellent verbal and negotiation communication skills.
  • Intermediate English skills.
  • Familiarity with labor laws and insurance processes.
  • Ability to treat individuals with fairness and respect, demonstrating sensitivity for ethnic, cultural, and gender differences.
