We are looking for a responsible personal assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the manager’s working life and communication.
● Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages, or highlighting them for their manager’s attention.
● Managing diaries and organizing meetings and appointments, often controlling access to the manager.
● Booking and arranging travel, transport, and accommodation.
● Organizing events and conferences.
● Maintaining the director’s office systems, including data management and filing.
● Taking notes and writing minutes during meetings.
● Entering data, maintaining databases, and keeping records.
● Reminding the manager/executive of important tasks and deadlines.
● Coordinating events and speaking engagements.
● Typing, compiling and preparing reports, presentations, and correspondence.
● Managing databases and filing systems.
● Implementing and maintaining procedures/administrative systems.
● Communicating clearly and concisely with clients of all levels both internally and externally.
Requirements
● Bachelor's degree in Management, Business, or related fields.
● Highly organized with excellent time management skills.
● 1 to 2 years of experience as a personal assistant.
● Professional English skills.
● Excellent oral and written communication skills.
● Organizational skills and the ability to multitask.
● Ability to be proactive and take the initiative.
● Flexibility and adaptability.
● Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding.
● Working knowledge of printers, copiers, scanners, and fax machines.
