Job Description

We are seeking to recruit a qualified office secretary who will be responsible for managing the day-to-day functions of our office to ensure flawless operations and an integral role in ensuring the success of our team through effective organization and prioritization. in this role, You would be the primary point of contact for internal and external stakeholders. You will organize and coordinate meetings, and external relations and oversee the office. you perform activities such as clerical tasks and supporting employees and management. Responsibilities: ● Prepare daily timesheets as well as reminders for meetings, appointments, and following up. ● Participate in meetings for minutes, amend, preparation of agendas, briefings as well as proofreading when required. ● Manage the calendar by arranging internal and external meetings. ● Receive and arrange external and internal visitors. ● Greet visitors and make sure all callers and visitors are dealt with promptly, courteously, and accurately. ● Ensure visitors are made comfortable, met on a timely basis by their host, shown to the appropriate room, and assisted with parking if relevant. ● Write common forms of correspondence, answer phones, run errands, and coordinate meetings schedule (kick-off or other types of meetings and events). ● Travel and accommodation arrangements, book hotels, flights, transportation, travel application, and expenses. ● Adhere to the allocated budget for the administrative function of the office. ● Screen and route incoming telephone calls, take messages, and answer incoming queries. ● Maintain visitor and caller logs ● Receive deliveries and coordinate outside delivery or courier services. ● Ensure mail and faxes are distributed to the appropriate person accurately and in a timely manner. ● Book meeting rooms and collaborative spaces and maintain tidiness (may be performed directly on line in certain locations). ● Perform other administrative duties as required. Requirements

● Minimum of 3 years of secretarial experience from a professional company. ● Excellent verbal and written communication skills in English. ● Fluent in English. ● Excellent working knowledge of MS Office. ● Diploma or higher degrees in related fields. ● Fast typing speed in Persian and English. ● Highly organized, detail-oriented, and discreet. ● Excellent communication skills, with an ability to engage and interact with senior managers. ● Ability to multi-task effectively and balance priorities in an ever-changing, fast-moving, time-sensitive environment. ● Strong numerical, verbal, and written communication skills with the ability to draft clear and concise communication. ● Demonstrate an excellent aptitude for building productive relationships with internal teams and key stakeholders. ● Able to work occasionally flexible hours for special projects or events. ● Highly organized, have strong verbal and written skills, and expert skills in MS office. ● Previous experience in office administration would be preferred. ● Confident when greeting VIP guests and employees. ● Must be well presented, positive, and enthusiastic ● Strong organizational skills & team player. ● Excellent oral communication and interpersonal skills. ● Must possess a professional telephone manner. ● Must possess a warm, friendly, and professional demeanor. ● Knowledge of office procedures. ● Knowledge of record-keeping techniques ● Strong interpersonal skills with an ability to build relationships with colleagues. ● Good problem-solving and decision-making skills. ● Exceptional organizational skills and a proactive attitude. ● Teamwork spirit, good communication skills, and ability to work under pressure. ● Highly motivated spirit to learn and determined to solve problems with a positive “CAN Do" attitude. ● Strong self-development, self-education, and self-motivation abilities.
