
Job Description
Assist the Logistics & General Services Coordinator and Manager in determining optimum conditions to maximize the cost-efficiency and utilization of departmental resources.
Assist in preparing the Work Program & Budget, and monitor departmental activities to ensure conformance with the approved budget and cost recovery requirements.
Take charge of Logistics & General Services duties, including but not limited to:
• Camp services: accommodation, catering, laundry, water provision, and consumables management, ensuring compliance with Company quality and HSE standards.
• Security services: for all residential camps and operational locations.
• Transportation services: for all residential camps and operational locations.
• Facility maintenance: for all residential camps and operational locations.
• Landscaping & watering services.
• Waste management: in accordance with national authorities‘ standards and regulations.
• Consumables inventory management: in accordance with Company auditing requirements.
Ensure the quality and timeliness of logistics services and utility supply to all operational locations, and take corrective actions when necessary.
Act as Department Contract Holder in accordance with SIPC Iran Contract Management Policy & Procedure, if applicable; and review and approve subcontractor invoices as required.
Maintain reliable control over departmental assets and inventory and take proactive measures to prevent any damage to the Company‘s belongings and reputation.
Maintain a reliable document archive and report generation & distribution system.
Generate work progress reports and take corrective actions when necessary.
Take part in responding to internal or external audits, and ensure full compliance of all departmental activities with HSE regulations and the organization's established policies and objectives, and adhere to behavioral objectives set by the Company.
Maintain a PDCA (Plan, Do, Check, Act) continuous improvement approach within the section, aiming to identify problems, test potential solutions, review results, and implement the best solutions to enhance the effectiveness and efficiency of designated tasks.
Perform designated tasks in line with departmental strategies and support other team members in carrying out their duties. Resolve workplace conflicts and maintain a cooperative, peaceful work environment.
Requirements:
1. Education: Bachelor's degree preferred in Business Administration, Management, Office Support, or a related field.
2. Professional Experience: 3–5 years of experience in office administration, office logistics, facilities management, or general affairs.
1–2 years of supervisory or team-leading experience, with proven ability to manage office support staff.
Experience in office supply chain management (procurement, inventory control, vendor management) is highly desirable.
3. Professional Skills: Strong leadership and team management abilities.Excellent organizational and multitasking skills. Effective communication and interpersonal skills to coordinate across departments.Problem-solving mindset with ability to handle urgent office operational issues.Strong budget management and cost-control awareness.
4. Language Ability: English: Fluent in both spoken and written English, with demonstrated ability to: Draft and review formal reports, policies, and correspondence in English; Conduct meetings and deliver presentations in English with confidence and clarity; Communicate effectively with Chinese management and international stakeholders.
