Job Description

Key Responsibilities:

•Manage and oversee the full foreign procurement and import cycle, including inquiries, quotation evaluation, commercial negotiations, purchase order issuance, shipment follow-up, customs coordination, and final delivery.

•Communicate professionally and continuously with international suppliers, freight forwarders, shipping lines, and agents to ensure on-time and compliant execution of orders.

•Conduct and support commercial negotiations with foreign suppliers to achieve optimal pricing, payment terms, delivery conditions, and Incoterms.

•Prepare, review, and control all international trade documentation, including Proforma Invoice, Commercial Invoice, Packing List, Certificate of Origin, Bill of Lading, insurance documents, and related records.

•Ensure accurate and timely order registration and customs processes through the NTSW in compliance with local regulations.

•Coordinate closely with sales, logestics, finance, customs, and planning teams to ensure alignment of shipment schedules, payment terms, and clearance requirements.

•Monitor shipment progress across sea, air, and land freight, proactively identifying risks, delays, or discrepancies and taking corrective actions when required.

•Identify, analyze, and resolve operational and documentation issues related to imports, customs clearance, or supplier performance.

•Maintain accurate and up-to-date records in Rahkaran systems, ensuring data integrity and traceability of orders and shipments.

•Prepare regular management reports covering order status, shipment progress, supplier performance.

Qualifications & Experience:

•Minimum Bachelor’s degree (field of study not mandatory).

•Minimum 10 years of proven experience in foreign trade, international procurement, import/export operations, or related commercial functions.

•Strong command of written and spoken English, with the ability to handle daily commercial correspondence and negotiations independently.

•Advanced proficiency in Microsoft Office, particularly Excel (data analysis, reporting) and Word.

•Solid hands-on experience working with ERP systems and structured operational data.

•In-depth knowledge of Incoterms and international trade regulations and practices.

•Independently manage NTSW order registration processes, ensuring accuracy, regulatory compliance, and seamless coordination with customs authorities.

•Strong understanding of international logistics and freight modes (sea, air, land).

•Prior experience in the cosmetic and personal care raw materials industry is a strong advantage.
