Job Description
• Being a front face of the company for all visitors and callers;
• Operating office equipment such as fax machines, copiers and phone systems;
• Using computers for spreadsheet, word processing, database management and other applications;
• Answering telephones and give information to callers, take messages or transfer calls to appropriate individuals;
• To greet, welcome visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs. Book and set up meeting room based on requirements, fulfill any special needs required for each meeting;
• Booking transportation for visitors, staff and guests when required;
• To set up and maintain paper and electronic filing systems for records, correspondence and other material;
• To open, read, archiving and distribute incoming mail or other materials and answer routine letters;
• Processing incoming and outgoing post and packages etc.;
• Supporting our employees and the various departments with organizational and administrative matters;
• Managing office budget and all the payments related to office utilities, maintenance, etc.;
• Monitoring incoming emails and answering or forwarding as required;
• Archiving, maintenance and record of documents, preparing letters, and reports, contact lists, memos and official correspondences in Farsi and in a professional way;
• Maintaining schedules and calendars;
• Maintaining excellent relations with all managers, colleagues and staff;
• Handling confidential information in line with the firms’ data security protocols.
