Job Description

● Set departmental strategic goals and develop interdepartmental policies and procedures. ● Support logistics and general services section head in daily logistics tasks timely, efficient, and precisely. ● Maintain a cost-saving attitude and strive for a 100% cost recovery rate for all aspects of departmental daily work. ● Perform all departmental initiatives, processes, and activities in conformance with the organization's established policies and objectives. ● Ensure full compliance of department activities with HSE regulations. ● Take part in responding to internal or external audits. ● Maintain a reliable document archive and report generation and distribution system. ● Maintain reliable control of departmental assets and liabilities, and take initiatives to avoid any damage to the company’s belongings and reputation. ● Generate work progress reports and take corrective actions when necessary. ● Support and assist logistics and general services section head in providing administrative services including but not limited to: daily secretarial work, managing office events, meeting scheduling, drafting correspondence, MOM and all department paperwork, scheduling appointments, and archiving all paper and electronic files records. ● Report the found and reported defects to the related departments by registering them in the CMMS system or submitting related purchase requests or work order in CMMS upon request. ● Initiate contract change proposals and follow up on variation orders. ● Prepare and proceed with contract close-out work. ● Review the subcontractor’s submitted invoices and submit them into the finance system and follow up on their payment on time. ● Provide information to supervisors, managers, co-workers, and subordinates through telephone, written form, e-mail, or in person. ● Support logistics and general services section head in making certain cost recovery requirements properly met. ● Adhere to human resource policies. ● Perform designated tasks in line with departmental established strategies and support other team members to carry out their tasks. ● Adhere to behavioral objectives set by the company. ● Resolve workplace conflicts and maintain a cooperative and peaceful environment in the workplace.

Requirements

● Bachelor's degree in Engineering, Finance, Management, or other relevant fields. ● At least 2 years of experience in the same field with a proven record of accomplishment. ● Knowledge of the practical application of business administration, including applying principles, techniques, and procedures to the design and perform financial activities. ● Ability to cooperate with all departments smoothly. ● Teamwork: to have the intuition and interpersonal acumen to know when to be a listener, and to be perceptive, as well as receptive to the needs and responsibilities of others. ● Flexibility: to demonstrate an ability and willingness to acquire new hard skills, and an open-mindedness to new tasks and new challenges, to show a willing and upbeat attitude. ● Ability to work under pressure and time management: to think clearly and to have the capacity to compartmentalize and set stress aside within tight deadlines. ● Excellent written and speaking English. ● Fluent in MS Office, especially Excel, Word, PPT, ETC. ● Fluent in electronic mail software. ● Fluent in database management software.
