Job Description

The incumbent works alongside General Manager and is responsible for administrative and secretarial tasks at a senior level in a well-organized manner to ensure the smooth management of day to day affairs. Handle sensitive and complex issues in a professional and objective manner. Take initiative as appropriate especially during absence of General Manager. Areas of Responsibility: Coordination: • Act as a first point of contact; dealing with correspondence and phone calls. • Maintain the General Manager's calendars; planning, arranging and confirming meetings and appointments. • Communicate with Management Team and scheduling Management Meetings. • Assist arranging the General Manager business travels, transport, accommodation and itineraries. • Organize VIP events and conferences. Documentation: • Type and/or drafts memoranda, correspondence, and other documents and reports often of a highly sensitive and confidential nature. • Ensure that materials and reports for signature are accurate and complete; proofreads and checks typed and other materials for accuracy, completeness and compliance with company's standards, policies and procedures. • Prepare communications on behalf of General Manager. • Schedule, prepare agenda and meeting materials and type minutes for various meetings. Follow up and Assistance activities: • Follow up the tasks assigned by the General Manager, liaising with other functions and attending internal meetings if necessary. • Review, determine the priority and route incoming correspondence, reports, requests and instructions; handle or refer matters as directed. • Research and assemble information from a variety of sources for the preparation of reports and correspondence for the General Management and Management Team e.g. JTI Iran Internal Biweekly Report.

Requirements

Education: • University degree in management, business administration or any other related field. Work experience and competencies: • Min 2 years’ professional experience as CEO Assistant or experienced personal assistant at senior management level ideally in an international company. • Accuracy and attention to details • Strong organizational skills and the ability to multitask • Well-developed time management skills. Languages and Computer Skill: • Good computer skills with proficiency in MS Office applications including Word, Excel and PowerPoint. • Ability to learn company-specific software if required. • Full command of English written & spoken.
