Job Description
Execute general and administrative support and assistance for different departments, registering or doing basic research of internal or external information, or/and in charge of operating administrative or accounting processes or systems. Responsible for carrying out administrative and executive tasks to facilitate the efficient running of the organization. Provide support to HR department in day to day activities in order to smooth running of HR operations. Responsible for the procurement of day to day needs of the office. Principal responsibilities - undertake the day-to-day office administration. - Assist in the implementation of administrative policies according to company procedures. - Administer the order taking and issuing of customer invoices. - Administer the payment of invoices, duties, deposits, withholding taxation for invoices and any other payments via the regional finance organization. - Provide administrative procurement support for day to day needs to ensure efficient running of the organization. - Support for Recruitments (Contact with agencies, sort listed CVs, interview scheduling, communicate with candidates, collect employee on boarding requirements, etc. - Liaise with the HR Head to implement, policies and procedures related to HR & organizational dev. - Liaise with the Head of HR to organize the on boarding needed requirements and tools Linde ID, IS account, etc. - Be the focal point of HR contact for all employee relations matters locally. - Prepare pay roll by checking employees - cash deductible/adding - Prepare payment request for local purchases of invoices and follow up the payment - Prepare monthly petty cash expenses details request - Maintain petty cash - Identify, classify, maintain and protect files, documentation and information consistent with record handling and retention requirements. - Answer all incoming phone calls and handle or redirect as appropriate. - Maintain office filing and storage systems - Monitor and maintain office supplies
