Role and responsibilities: The purpose of the Admin Assistant position is to provide support to the day-to-day maintenance of administration systems, processes, and support within the Admin function. Generic responsibilities: ● Adhere to NRC policies, tools, handbooks, and guidelines. ● Assist with the implementation of the HR and Administrative portfolio according to a plan of action. ● Prepare and develop status reports as required by management. ● Ensure proper filing of documents. ● Promote and share ideas for improvement of the HR and Administrative functions. ● Promote the rights of refugees and displaced in line with the advocacy strategy. ● Identify and report protection needs and gaps, explore and propose new and safer ways to assist in the attainment of HR goals and objectives. Specific responsibilities: ● Handle NRC Country Office Petty Cash as per NRC Iran SOP. ● Ensure appropriate management of office supplies and stationaries. ● Ensure proper office reception, including the processing of visitors, delivery/reception of documents, bills, and Taxi services. ● Ensures office maintenance administration. ● Ensure proper monitoring of NRC Iran premises agreements and be the focal point for all shared accommodation-related tasks. ● Coordinate and plan the work of reception in the country Office (including supervising office supplies and stationary orders, preparing business cards, etc.). ● Provide support and guidance to colleagues on admin procedures. ● Support Admin Team in event management, including training, workshops, seminars, and in the preparation of regular meetings with client departments.

Requirements

Professional competencies: 1.1. Generic professional competencies: ● Experience from working as a Support Function Assistant (in a humanitarian/recovery context is a plus) ● Previous experience working in complex and volatile contexts ● Documented results related to the position’s responsibilities ● Good command of English both spoken and written at the working level. 1.2. Context or specific skills, knowledge and experience: ● At least a Bachelor’s degree. ● Strong planning and organizing skills. ● Experience with archiving. ● At least one year of experience in HR/Administration field. ● Fluent in Microsoft Office, especially Word, Excel, PowerPoint, and Outlook. 2. Behavioral competencies: ● Planning and delivering results. ● Working with people. ● Communicating with impact and respect. ● Coping with change.
