Job Description
Main Purpose of the Job:
- Execute the pharmacy/medical warehouse storing activities to keep pharmacy stock above the security level and following recommended conditions (temperature, humidity, etc.) under the supervision of the PMR (for OCG) or pharmacy supervisor, and in collaboration with the logistics team.
Responsibilities and Tasks:
- Supervising material orders and dispatching to ensure rational use.
- Receiving orders and deliveries, identifying potential disparities against the cargo manifest or others and reporting them, and storing materials in accordance with the system in force, to ensure continuous availability.
- Ensuring good storage conditions of all medical items in the pharmacy in accordance with pharmaceutical standards to ensure continuous availability.
- Ensuring correct fill-in entries on the stock cards and software.
- Carrying out or participating in regular inventories, including EPREP stock.
- Following up stock levels with regards to alarm thresholds, stock out, expiry dates, and drugs to expire in the following 6 months.
- Preparing orders of the different consumption units (departments, wards, others), ensuring proper packaging and dispatching, and reporting any anomalies or changes in consumption patterns to the pharmacy supervisor.
- Inform the pharmacy supervisor as soon as the stock reaches the alert limit.
- Controlling warehouse facilities in order to ensure materials are kept in good condition, including: e.g., monitoring temperature in the warehouse and ensuring that products requiring cold chain are suitably stored and transported, received, stored, and prepared and transported appropriately according to MSF supply and cold chain protocols.
- Ensuring the cleanliness of premises (stock pharmacy) and, in close collaboration with the logistics department, maintaining refrigerating equipment.
- Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins, or theft in the warehouse.
- Ensuring that items to be quarantined (on-going quality alerts) or to be placed in quarantine zone (batch recalls, expired or damaged items) are removed from the stock and safely locked.
- Following up stock levels with regards to alarm thresholds, stock out, expiry dates, and drugs to expire in the following 6 months.
- Preparing reports and passing them to the supervisor.
- At the project level, reports to the Project Medical Referent (PMR).
- Communication lines include the PMR and the Mission Pharmacy Manager at the mission level.
- Sees to it that the project pharmacy is physically organized according to the MSF standards of pharmacy set-up and management (including temperature monitoring, documentation/ recording/ filing of bound paper documents in the pharmacy filing folders).
- Acts as the property custodian of all items included in the pharmacy stock.
- Regular monthly physical inventory to be carried out, especially when movement/s of items is noted.
- Regular updating of the Isystock program is to be done as per the briefing.
- Responsible for making available all forms that are needed in the Pharmacy Stock Management activities.
- Monthly submission of required reports to the central pharmacy in Tehran.
- In cooperation with the NTS/NAM, follow up on regular orders and the rate of medication consumption, and inform the NTS in case of noticing a significant difference in the usage rate of medications.
- Promptly inform the medical team about any shortages, near-expiration items, or overstock situations.
- Regular communication with the PHCC nurse dispenser (cc/inform PMR in all communication, especially for periodic consumption list and stock requests.
- Regular visits to the mobile clinic ensure that the protocols and procedures of the pharmacy are in place.
- Facilitate the disposal of the expired and damaged items following the pharmacy manager.
- Participation in internal MSF meetings when needed.
- Participation in proposed staff trainings.
The tasks above are not exhaustive regarding the specificity of MSF and possible evolution that could occur over time through adaptation of the mission. Consequently, other tasks can be assigned to allow the mission to function optimally.
Specific Requirements for the Role:
Education:
- Essential: high school diploma.
- Desirable, medical-related studies, e.g., pharmacy technician, pharmaceutical studies, etc.
Experience:
- Essential previous experience of at least 2 years in similar or relevant positions.
- Desirable previous experience in MSF or other NGOs.
- Desirable previous experience in a pharmacy, or experience medical medical-related store keeping, OR background education in the medical field.
Languages:
