Job Description

The objective of the role:

To ensure smooth management, we need full administrative and secretarial support at a senior level to the Managing Director.

Responsibilities:

We seek a capable and motivated candidate to join our team with a positive mindset, excellent communication skills, and a particular focus on handling customer service, customer interaction, and logistics.

The range of responsibilities will include:

  • Diary management.
  • Book meetings and appointments.
  • Book flights, hotels, car hire, valet parking, etc.
  • Organize visas and the documents needed.
  • Reconcile monthly expenses.
  • Check and report for staff sickness/holiday is a correct-daily update of the sickness absence report.
  • Field calls for the office and MD and take messages.
  • HR administration – contracts/offer letters, relevant paperwork, maintaining personnel files.
  • Liaise with outsourced HR dept. on any disciplinary occurrences.
  • Organize food/refreshments for business lunches.
  • Input and update contact details of CRM.
  • Manage office and cleaners and bike delivery.
  • Carry out research for particular projects as requested by MD.
  • Organize corporate and staff events.
  • Assist with the organization of exhibitions and possibly attending if required.
  • Manage catering and reception.
  • Maintain client's car parks.
  • Take minutes at various management meetings and type up minutes.
  • Organize interviews.
  • Purchase various items for MD as and when required.
  • Organize the payment of bills etc. both MDs and companies for MD.
  • Do ad hoc paperwork and duties.
  • Report to the managing director.
  • Probation period: 2 months.
  • Working hours: 8:30 to 17.
  • Travel requirements: No.

Requirements

  • Bachelor's or Master's degree.
  • ICDL and computer skills.
  • 3 years experience of experience.
  • Communication skills.
  • Multi-tasking skills.
  • Written skills.
  • Teamwork spirit.
