NRC will only consider applications that come through Webcruiter.******* Role and responsibilities: The purpose of the Admin Assistant is to provide administration and basic admin support within the Admin Unit to various admin functions. The Administrator organizes and delivers their tasks in line with priorities and standards, and uses initiative for day-to-day problem-solving in line with agreed procedures and standards. The Admin staff maintains Admin records (Travel arrangements, Lease Agreement, Visa & Residency, NRC Building Insurance, Service Contract and etc.) Generic responsibilities: ● Implement NRC’s safety and security policies at the office level. ● Conduct regular security and risk assessments to identify safety and security needs. ● Train staff in safety and security and provide regular briefings and updates. ● Immediately report all breaches of safety and security procedures and all threats to NRC staff, beneficiaries, activities, or assets. ● Facilitate staff evacuation in emergency situations. ● Supervise, train, and develop eventual security staff at the office level. ● Liaise with UN agencies, NGOs, and other external actors to gain security information. ● Ensure vehicle and staff movements are monitored according to procedures and that necessary safety and security equipment are available and in good condition. ● Prepare security updates and reports as required. Specific responsibilities: ● Ensure proper monitoring of NRC Iran premises agreements and be the focal point for all shared accommodation-related tasks. ● Ensure all immigration procedures for international travelers are received in due time. ● Share the necessary information at the time of arrival of international staff and coordinate of transfer from the airport to the guesthouse and vice versa. ● Monitor work of service staff and reception in country Office (NRC staff and external force). ● Provide support and guidance to colleagues on admin procedures. ● Handle NRC Country Office Petty Cash as per NRC Iran SOP. ● Ensure timely delivery of travel services and travel arrangements in the country office based on travel SOP. ● Ensure the general maintenance of the office and guesthouse. ● Ensure appropriate management of office supplies and stationaries. ● Support admin team in event management, including training, workshops, seminars, and in the preparation of regular meetings with client departments.

Requirements

Generic professional competencies: ● Experience from working as a Support Function Assistant in a humanitarian/recovery context is a plus ● Previous experience from working in complex and volatile contexts ● Documented results related to the position’s responsibilities ● Good command of English both spoken and written at the working level. Context/ Specific skills, knowledge, and experience: ● Bachelor's degree. ● Strong planning and organizing skills. ● Interpersonal skills and communication. ● Experience with archiving (Both electronic and hard copy). ● Minimum one (2) years of experience in Administration or office management. ● Fluent in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
