Job Description
• Serve visitors by greeting, welcoming, directing and announcing them appropriately • Answer, screen and forward any incoming phone calls while providing basic information when needed • Receive and sort daily mail/deliveries/couriers • Update appointment calendars and schedule meetings/appointments • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc. • Directs visitors by maintaining employee and department directories; giving instructions • Provide general administrative support • Maintain and update filing, inventory, mailing, and database systems using a computer; • Communicate with customers, employees, consultants and other individuals to answer questions, disseminate or explain information, take orders, and address complaints • Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail • Organize, coordinate and attend meetings and conferences • Compile, copy, sort, and file records of office activities, business transactions, and other activities • Type, format, proofread, and edit correspondence and other documents • Make all necessary travel arrangements for both local and international trips • Complete work schedules, manage calendars, and arrange appointments • Various ad hoc tasks
Requirements
• Bachelor’s degree/ diploma in business administration or related field which is relevant to become a secretary/receptionist • At least 3-5 years of experience in a related field • Excellent knowledge in Microsoft Office software • Good command of English language would be an advantage • Well-developed communication and interpersonal skills • Well organized and having good time management skills • Have the ability to be resourceful and proactive in dealing with issues that may arise
