Job Description

We are looking for a responsible personal assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on various tasks related to the manager’s working life and communication.

The key responsibilities of this position are:

  • Schedule meetings and appointments.
  • Participate in meetings and prepare minutes.
  • Prepare and edit letters, emails, presentations, and reports and prepare a filing system.
  • Produce reports, presentations, and briefs.
  • Liaise with facility management, including cleaning, catering, and security services.
  • Maintain the manager's office condition and arrange necessary repairs.
  • Conduct or prepare any research that the reporting manager may require.
  • Act as the point of contact between the manager and internal/external clients.
  • Direct phone calls and distribute correspondence.

Requirements

  • Experience as a personal assistant or administrative assistant (at least 3 years).
  • Knowledge of Office Administrator responsibilities, systems, and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with the ability to suggest improvements.
  • Appropriate English writing and speaking skills.
