Haldor Topsoe is an international company with an ambitious growth strategy. Our headquarters is based in Denmark, but the vast majority of our highly specialized catalysts and products are sold to industrial plants throughout the world. We now offer a unique position as Secretary in our office in Teheran, where you will join a team of 4 colleagues, a Country Manager and a Senior Sales Manager. You will become our center of contact and will help us all with a broad variety of administration tasks. As this is a newly established position you will be able to influence and shape the scope of the job. As Haldor Topsoe is a global company the working language is English.
Requirements
Your responsibilities Handling incoming phone calls, e-mails, and welcoming visitors Handling incoming and outgoing letters and documents, including invoices. Making sure all the correct documentation is collected and properly stored Ensuring brochures, gifts and marketing material are available in cooperation with HTAS’ PR department Management and handling of payments via online banking / petty cash / cheques, including payments of invoices, salary related costs, tax. This includes ensuring proper documentation for the bookkeeping agency Management of petty cash requires weekly Management of bank requires monthly reconciliation between credit card statements and cheque book, and bank statements Receiving all travel reports from employees and ensure control of the report and receipts Assisting the HTAS controller and finance department when needed, eg. annual report, misc. correspondence etc. Assisting company directors in audit- and recruitment processes Assisting expats moving from Denmark with all aspects related to living outside their country, eg. finding houses, schools etc. Liaise with the embassy / government for all expat related matters Assisting employees in booking of airline tickets and hotel reservations for business trips Assisting employees in correspondence matters including writing letters, e-mails, and other written correspondence if needed Assisting in the organization of seminars / workshops, relevant to the employees Assisting the bookkeeping agency with keeping received invoices and other documents for booking in good order Assisting the bookkeeping agency with making provisions for large expenses each month, where the invoice has yet not been received by the end of the reporting period. You are responsible, independent, and methodical demonstrate initiative as well as technical flair are committed to your work and strive to make a difference are structured, open-minded, cooperative, innovative, and independent have a good ability to get things done and, not least, get it off one’s hands have excellent writing skills, both in native and English have good understanding and flair for accounting are great with numbers have an expert level in the MS Office software system, especially Excel, Word and PowerPoint have general knowledge of basic IT hardware e.g. printers, webcam, microphone. Qualifications You have an English language degree and preferable some years of office experience from working in an international company. Experience from chemical or oil industry is an advantage.
