Job Description

The role of the CEO's assistant in Mammut Khodro Group is to manage and plan meetings, prepare reports and documents, research and analyze data, manage projects, accompany the CEO in intra-organizational and extra-organizational meetings and, when necessary, on trips.

Responsibilities:

  • Prepare reports, magazines, articles, books needed by CEO and board members.
  • Plan the internal meetings of the company's management and planning, coordinating and supervising the reception of internal and external guests.
  • Do things related to typing and duplicating and telephone communication and sending faxes and following up on physical and electronic mails of the management office.
  • Collect information related to various matters and the performance of the organization's units and following up on providing a summary of the unit's performance status from unit managers to present to the CEO.
  • Follow up activities related to agency reservation, courier and ticket preparation, accommodation facilities and travel for the CEO on missions.
  • Documentation and archiving of correspondence and correspondence.
  • Prepare and arrange records and files that can be presented in the meetings of the board of directors.
  • Monitor the evaluation of government papers and documents in the company and separating and maintaining archival and valuable papers and documents.
  • Receive the orders and decisions of the management and the board of directors in connection with referring the work to different units and following up until the result is achieved.
  • Coordinate the meeting room and making sure its equipment is ready before holding meetings.
  • Control the inventory of office consumables on a continuous basis.
  • Set daily schedules and meetings of CEO and board members.

Requirements

  • Bachelor's or Master's degree in Management, Industrial Engineering, or Psychology.
  • At least five years of work experience in large industrial organizations.

Specialized Knowledge, Skills, and Competencies:

  • Ability to hold and manage intra-organizational and extra-organizational meetings in the related field.
  • Good ability to work with MS Office software, especially Excel.
  • Ability to compile management reports.
  • Ability to communicate effectively.
  • Proficient in English and the principles of writing and correspondence in English and Farsi.
  • Familiar with the process of registering and archiving incoming and outgoing letters.
  • Familiar with the process of formalities and coordination of meetings.
  • Full familiarity with ERP.

General Knowledge, Skills, and Competencies:

  • Ability to prioritize tasks and make correct and timely decisions and logical thinking along with the ability to solve creative problems.
  • Accurate, regular, dynamic, responsible, and persistent until the result is achieved and trustworthy in maintaining the confidential information of the organization.
  • Adapt to a changing work environment and handle multiple priorities.
