Job Description

The Technical Office Expert serves as the operational and monitoring arm of the Project Management team. The role is responsible for translating field data into analytical documents and supporting the Project Manager in maintaining the project schedule and budget. It is intended to ensure data accuracy, maintain comprehensive records of all technical events, and convert raw field information into reliable reports that support management decision-making.

The Technical Office Expert is primarily responsible for monitoring physical progress and costs, managing contractual documentation, and verifying that site operations are consistent with approved plans, helping prevent deviations from the project schedule and budget.

Responsibilities:

• Project Progress Monitoring and Control: Continuously collect and review physical progress data, including production, extraction, and overburden removal; compare actual performance with the approved plan; identify deviations; and follow up on corrective actions.

• Project Planning and Scheduling: Support the preparation, development, and updating of project schedules and execution plans, and follow up on the achievement of approved targets.

• Quantity Measurement and Preparation of the Company’s Progress Claims: Calculate, verify, and document the quantities of executed and production-related work; prepare and compile the company’s progress claims and price-adjustment claims based on actual quantities and contract terms; and follow up on their review and approval.

• Subcontractor Progress Claim Control: Review and verify subcontractors’ progress claims, check reported quantities against the work performed and the relevant contract terms, and follow up on the resolution of discrepancies.

• Quantity Take-Off, Cost Estimation, and Price Proposals: Carry out quantity take-offs and cost estimates for operations, prepare estimates required for projects, and assist in preparing price proposals.

• Project Cost and Performance Control: Prepare cost, revenue, and project-performance reports; compare estimates with actual performance; and provide management with the required information and analysis.

• Contract and Subcontractor Obligation Control: Review contract terms and subcontractors’ obligations, monitor quantities and the status of contractual performance, and follow up on contractual matters and other subcontractor-related issues.

• Reporting, Documentation, and Document Control: Prepare daily, weekly, and monthly reports; register, control, and systematically archive drawings, correspondence, meeting minutes, site reports, and other project documents and records.

• Technical and Contractual Correspondence and Follow-Up: Draft technical and contractual correspondence and meeting minutes; follow up on issues and requests; and track problems, discrepancies, and execution deficiencies through to resolution.

• Tendering and Auctions: Assist in preparing and completing tender and auction documents, including scopes of work, quantities, cost estimates, and other required documentation; and review submitted proposals.

• Project Control Structures: Assist in preparing and updating the Work Breakdown Structure (WBS) and Cost Breakdown Structure (CBS), and ensure they are aligned with project activities and costs.

• Site Performance Control: Visit and review site operations, verify the quantities of completed work, collect required information, and coordinate with execution teams to resolve project discrepancies and issues.

• Technical Studies and Recommendations: Conduct technical studies and reviews, analyze project information, and provide practical recommendations to improve processes, reduce costs, and increase productivity. Coordinate with operations, finance, contracts, the client, and contractors on matters related to the Technical Office.

Skills and Requirements:

• Education: Bachelor’s or Master’s degree in Mining Engineering, Civil Engineering, or a related field.

• Experience: At least three years of relevant experience in a Technical Office, project controls, or mining and contracting projects.

• Technical Knowledge: Familiarity with project controls principles, including schedule and cost control; WBS/CBS concepts; quantity take-off and cost estimation; progress claims; and tender and contract documentation.

• Technical Skills: Advanced proficiency in Microsoft Office, particularly Excel for data analysis, and familiarity with mining software.

• Contractual Skills: Familiarity with the terms of contracting agreements, progress claims, price adjustments, and subcontractor obligation control.

• Personal Attributes: Strong attention to detail; effective documentation and technical writing skills; persistence and a disciplined approach to work; a collaborative, team-oriented attitude; and the ability to adapt to project and mining-site conditions.
