Job Description

Provide high-level administrative support to the CEO by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Responsibilities: ● Handle all incoming and outgoing calls and take messages for the CEO. ● Filter general information, queries, phone calls, and requests, and assess priorities. ● Conduct research, compile data, & prepare papers for consideration and presentation by the CEO. ● Greet visitors and ensure guests meeting with the CEO are well taken care of. ● Read and analyze incoming office memos, submissions, and reports to determine their significance and plan their distribution. ● Manage the CEO’s office petty cash. ● Liaise with ministries, authorities, and business associates. ● Compose and prepare correspondences, reports, memorandums, agendas & minutes of meetings. ● Perform general office duties, such as maintaining records, and files and performing basic bookkeeping work. ● File and retrieve corporate documents, records, and reports. ● Open, sort, and distribute incoming correspondence, including faxes and email. ● Make travel, accommodation, and visa arrangements for the CEO. ● Schedule appointments and manage the CEO’s schedule. ● Maintain strict confidentiality and interact professionally with all levels of management and staff. ● Follow up on the instructions given by the CEO to the respective management staff. ● Undertake other special assignments, ad-hoc functions, and related administrative duties as and when required by the CEO. .

Requirements

● Age range: 26 to 35 years old. ● Fluent in English, knowing German is a plus. ● At least 4 years of related experience. ● Strong personality, high team working skills, ability to work under pressure, self disciplined, motivated to achieve goals. ● Excellent in Microsoft Office; especially Word, Excel, and PowerPoint.
