Job Description

Scope and purpose of the job: Reporting to the General Manager, the Office Assistant will be responsible for providing reception services to the Tehran office. She/he will be responsible for handling the office management, management of office supplies, act as an assistant to key executive of Mehrock. She/he will also handle administrative affairs of the office, including but not limited to simple accounting, expense reports, letter typing, travel arrangements and office administration. She/he will also welcome clients and partners in a professional and elegant way. Key responsibilities: The responsibilities of this position include, but are not limited, to the below: • Act as point of contact between junior management and Managing Directors • Welcome and assist customers, clients, visitors in the office • Screen telephone calls, taking accurate messages • Receive and distribute postal and courier packages • Proactive calendar management and meeting prioritization as well as highly complex large scale meeting coordination • Extensive global travel management: ensure required travel tickets, hotel bookings and visas are arranged in time for employees and guests • Provide general administrative support such as preparing and composing correspondences, arranging meetings, processing confidential documents, tracking deadlines, forms and reports, filing electronic and hard copy • Monitor the office supplies and replenishing them accordingly • Coordinate and track expense reimbursements and reports for accounting purposes • Work with directors and colleagues with the utmost of discretion and professionalism, to create an exceptional Executive Office.

Requirements

Desired qualifications and experience: • 2-4 year of work experience as executive assistant or office assistant • Excellent communication and interpersonal skills • Independent and conscious about her/his work • Team player comfortable working in a multicultural environment • Discreet, trustworthy and humble • Highly skilled with Word, Excel and PowerPoint. • Fluent in both English and Farsi written and spoken any other language would be a plus • Available immediately This is a unique opportunity to challenge yourself.
