The Role Summary: Plan, direct, or coordinate one or more administrative services of an organization, such as records and information management, mail distribution, facilities planning and maintenance . Main responsibilities : - Providing a professional HR system and manpower planning including job analysis, recruitment procedure, resources development, internal communication, performance appraisal system, administration, reporting, training and etc; - Reducing staff turnover and increase communication, according to the policies of the company and local Labor Law; - Maintaining personnel records including business pack, leave and disciplinary records; - Assisting, designing and preparation of salary and wages system and monthly payroll; - Ensure all HR policies and procedures are up to date and legally compliant; - Assists managers in internal management, organizing training programs and personnel development. - Direct or coordinate the supportive services department of a business, agency, or organization. - Analyze internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes or the disposal of records. - Monitor the facility to ensure that it remains safe, secure, and well-maintained. - Hire and terminate clerical and administrative personnel. - Set goals and deadlines for the department. - Manage and coordinate the payroll and related matters. Job Description: - Direct or coordinate the supportive services department of the organization - Prepare and review operational reports and schedules to ensure accuracy and efficiency. - Analyze internal processes and recommend and implement procedural or policy changes to improve operations - Plan, administer and control budgets for contracts, equipment and supplies. - Monitor the facility to ensure that it remains safe, secure, and well-maintained. - Conduct classes to teach procedures to staff. - Supervise time sheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies. - Compute wages and deductions - Record employee information, such as exemptions, transfers, and resignations, to maintain and update payroll records. - Keep track of leave time, such as vacation, personal, and sick leave, for employees. - Supervise providing information to employees and managers on payroll matters, tax issues, benefit plans, and collective agreement provisions. - Keep informed about changes in tax and deduction laws that apply to the payroll process. - Complete, verify, and process forms and documentation for administration of benefits such as pension plans, and unemployment and medical insurance. - Supervise and oversee daily office administration functions, lead administration team to perform all-rounded office administration functions - Develop office Management standards and delivered against them office layout and desk relocations, office equipment furniture and computer accessories and services - Manage, improve and modify work flow to maximize office productivity and optimize the use of resources - Plan and control administration budget and cost - Manage and Monitor petty cash flow of the office - Supervise the company vehicle fleet and service groups to keep smooth daily running of the office - Processing staff salaries insurance tax payment - Processing staff contracts hiring process retiring process
Requirements
University Qualifications: BSc or Master in management or related major. Minimum Bachelor degree in related fields, from a reputable university. - Having the knowledge of: * Payroll and benefit rules; * HR, training and administration affairs; * Labor law * Hamkaran / Vision software (advantage) * Good skill of MS Office. * Exempted from military services duties. - Other Qualifications: * At least 3 years of experience in the same position in a foodstuff distributing company * Good English proficiency * Age range: 30-40 Specialist knowledge : - Excellent communication skills. - Fluent in MS office and related software. - Team work - Leadership & Managerial Skills - Planning, organizing and solving problem skills - Communication & Interpersonal Skills - Strong negotiation skills - Managing people
