Key Responsibilities
- Manage and coordinate the CHRO’s calendar, including scheduling meetings, visits, events, and prioritizing timelines.
- Arrange, coordinate, and follow up on internal and inter-organizational meetings with managers, subsidiaries, and external stakeholders.
- Prepare meeting agendas, record minutes, document decisions, and follow up on agreed action items.
- Manage correspondence, letters, emails, administrative coordination, and the official communications of the CHRO’s office.
- Act as a professional and well-organized point of contact between the CHRO and other functions, managers, and related organizations.
- Monitor and continuously follow up on key HR projects, programs, and actions on behalf of the CHRO.
- Coordinate with HR managers, HRBPs, CoEs, and other stakeholders to obtain project progress updates and consolidate reports.
- Support the CHRO in office management, prioritization, follow-up of commitments, and control of decision execution.
- Design and maintain trackers, action logs, follow-up dashboards, and status reports for projects and actions.
- Support transformation, development, redesign, and implementation of HR initiatives from the perspective of coordination and execution follow-up.
- Identify delays, bottlenecks, and execution risks in projects and escalate them to the CHRO in a timely manner.
- Prepare reports, presentations, preliminary analyses, and management packs for CHRO meetings and decision-making.
- Follow up on cross-functional interactions and ensure the timely delivery of expected outputs from different functions.
- Manage the filing, documentation, and orderly maintenance of documents, reports, correspondence, and files of the CHRO’s office.
- Provide executive support for special initiatives, committee meetings, inter-company projects, and priority HR programs.
- Contribute to the preparation of management and analytical reports to monitor the status of HR projects, actions, and priorities.
Qualifications
- Education: Bachelor’s or Master’s degree, preferably in Industrial Engineering, Management, Industrial Management, MBA, Human Resources Management, or related fields.
- Experience: At least 5 to 8 years of relevant experience, preferably in roles such as executive assistant to senior executives, office manager, PMO, project coordination, or similar positions.
- Preferred Advantage: Good familiarity with HR concepts, structures, and HR projects in large organizations or holding companies.
