- Provides secretarial and administrative support to the General Manager
- Reviews, determines the priority and routes incoming correspondence, reports, requests and
Instructions; handles or refers matters as directed
- Coordinates work with other departments and support staff to ensure a high performance
- Ensures materials and reports for signature are accurate and complete
- Schedules, prepares agenda and meeting materials and types minutes for various meetings
- Receives telephone calls, providing information and handling issues that may require sensitivity
- Solving customer issues or providing customer services
- Scheduling employee work times and day-to-day supervision of employees
- Conflict resolution and disciplining
- Selecting new employees by choosing a few applicants with the most potential and then work with the manager through the selection process
- Address customer concerns and explain company policies
- Completing reports that would be submitted to the manager upon his return.
- Researches and assembles information from a variety of sources for the preparation of reports and correspondence for the General Manager
Requirements
- Must be fluent in English (all skills)
- A minimum of 5 years of responsible office administrative or secretarial experience
- Principles and practices of sound business communication.
- Budgeting, record keeping, filing and purchasing practice and procedure
- The principles and practices of effective supervision.
- Organize, set priorities and exercise sound, independent judgment within
areas of responsibility.
- Use a high degree of tact, discretion and diplomacy in dealing with sensitive
Situations and concerned and/or upset groups and individuals
- Strong personality, self-motivated, being able to say NO, good listener, highly disciplinary
