Job Description

We are seeking an organized, self-motivated office administrator to join our growing organization. In this position, you will manage a variety of administrative tasks such as answering calls, organizing mail, and directing visitors. As you will provide office support and coordinate office activities, a positive attitude and attention to detail are a must. • Welcome visitors and providing assistance as needed • Answer phone inquiries, direct calls, and provide basic company information • Perform basic bookkeeping tasks as needed • Assist with travel arrangements for office staff and managers • Monitor incoming and outgoing mail; receive and sign for mail/packages from couriers and deliver to proper recipient • Prepare correspondence, documentation, or presentation materials • Perform clerical duties, take memos, maintain files, and organize documents; photocopy, fax, etc. as needed • Assist in planning company events, meetings, luncheons, and employee team building activities or special projects • Manage and maintain files, records, and correspondence for meetings • Type documents, drafts, and reports • Arrange schedules for meeting space and conference rooms • Assist with travel and expense reports • Update General Manager Calendars and organize schedules • Oversee mail deliveries, packages, and couriers • Purchase, track, and invoice office supplies for each department • Set up, break down, organize, and maintain conference rooms and meeting rooms • Arrange itineraries and executive correspondence • Apply for visa applications for Managers when needed


• High school diploma or equivalent’; associate’s or bachelor’s degree preferred • Prior experience handling office responsibilities • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars • Excellent written and verbal communication skills • Highly organized multi-tasker who works well in a fast-paced environment • Willingness to learn and to grow with the company • Be Familiar with English language
