Job Description

● Process the simplest to the most complex visa cases correctly and efficiently employing a polite manner to both applicants and Embassy employees with little or no need for guidance. ● Keep informed of laws, regulations related to visa cases. ● Either alone or as a team member can take complete action on all classes of visas upon receipt including screening, data entry, visa classification, scanning of documents, photo capture, fingerprint capture, printing, quality assurance, and tracking and issuance. ● Track applications, including emergencies or high-profile cases. ● Advise officer of relevant applicant information which requires thorough knowledge of the host country by providing consular officers with background information on local customs, traditions and personalities. ● Exercise discretion and a high degree of professional responsibility in handling confidential/sensitive applicant information and documentation. ● Monitor daily the status of all cases. ● Keep fluent interaction with the Visa Unit Staff, Visa Unit Chief, and other staff, providing advice, recommendations, and feedback on visa operations, as appropriate. ● Ensure key case documents are properly scanned into the visa system. ● Maintain and retain files strictly in accordance with Consular Management Handbook without the need for close supervision. ● Provide interpretation and translation services as needed, English, including assistance during visa interviews; translation of documents and correspondence. ● Make phone calls and send emails in both languages in order to obtain the information requested by the officer. ● Develop and maintain translations of reports, charts, graphs, correspondence templates. ● Respond promptly and accurately in fluent English to a full range of complex customer inquiries and complaints in a courteous manner. ● Independently reply to routine inquiries (approximately 80% of total queries), identifying urgent and complex queries and routing them promptly to the Correspondence Team Leader. ● Send emails to applicants to coordinate passport pickup or delivery. ● Politely and efficiently handles upset customers seeking corrections to visas with errors.

Requirements

● Bachelor's degree in Business or relevant fields from a reputable university. ● Fluent in English and a second language. ● 3 to 7 years of prior relative experience. ● Motivated, energetic, and able to work as a part of a team. ● Strong communication and negotiation skills as the job is centered on communication with the client, colleagues, and authorities. ● Work to tight deadlines even when under pressure, whilst still being able to provide a high level of customer service. ● Proficient in Microsoft Office and any other software related to visa and immigration consultancy. ● Attention to detail. ● Punctuality. ● Professional customer service and communication skills, both verbal and written ● Manage multiple large accounts simultaneously and have a proven track record of accomplishing tasks on time. ● Manage shifting priorities and execute tasks in a high-pressure environment. ● A strong team player who is able to maintain a mature, calm approach to all situations. ● Excellent interpersonal skills.
