
Job Description
Objective: To assist office personnel with daily secretarial and administrative tasks. Main responsibilities : The main responsibilities includes: - Directing calls to appropriate parties or take messages and arrange, coordinate and confirm meetings, conferences and appointments. - Attend meetings to record minutes when required. - Maintaining an up to date records of various company contacts. - Prepare invoices, reports, letters and other documents, using Microsoft office. - Coordinate the flow of information both internally and externally. - Follow up the management orders and assigned tasks at different stages. - Maintain scheduling and event calendars. - Organize internal and external events. - Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. - Open, sort, and distribute incoming correspondence, including faxes and email. - Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material. - File and retrieve corporate documents, records, and reports. Reporting to : Managing Director Other interactions : : Ministry of Commerce, Ministry of Health, Banks, Taxation Office, Social Security, other internal departments of the company Number required : 1 Duration : Permanent position Desired start date : : Immediate Probation : 3 months Working hours : 8.30a.m - 5pm ( flexible when required) Travel requirements : NA
Requirements
- Have good knowledge of Microsoft office particularly word and excel. - Fluent in English - Fast Typing both in Persian and English ( 10 fingers) - 3 years experience as company secretary - Good Public Relation, interpersonal and communication skills - Effective time management, administration and organizational skills. - Ability to handle multiple tasks and deadlines - Active listener and perfect attention to details - Knowledge of trade and commerce is a plus. - Knowledge of Industry is a plus.
