HR Responsibilities: • Daily o Manage the recruitment and joiner process from end to end, including but not limited to Posting the vacancies, Screening and shortlisting CVs, Arranging and conducting interviews, Updating the interview dashboard, Preparing/distributing/collecting the offer and contract Inform HR Coordinator/Ofogh representative of all joiners Collecting all new joiner documents Following up and collecting Induction Forms Following up and collecting Medical check-up and Criminal Back ground o Manage the mover/employee changes process from end to end, including but not limited to Updating the HC report Inform HR Coordinator of all employee changes Distribute/collect the mover (promotion/lateral) addendum letter Distribute/collect forms for changes to family changes (marriage, children etc.) 2 Collect all documents related to family changes (marriage, children etc.) Support in the delivery of medical documents to the supplier Collecting employee request letter and informing HR Coordinator/Ofogh representative Take care about end of service letter in downtown o Manage the Leaver/Exit process from end to end, including but not limited to Drafting and distributing warning & feedback letters Collecting employee resignation Conducting and reporting the exit interview Draft and distribute End of Service Letter Monthly Preparing complete and accurate report in full and on time Leaver tracker Leave balance Leave paper HC report Timesheet Turnover Mission paper SOBC Report Fleet Responsibilities: (including but not limited to) • Daily Van check (Based on BAT Standards) • All relevant aspects (Body, Mechanical, Periodic Services, Cleanness, Ad-Hoc Services, etc.) & data gathering. • Monitoring & Controlling & Handel repair & Maintenance processes. • Check the quality of purchased materials, Check the vans being maintenance with BAT standards, %10 physical back checks to ensure received services & parts quality & standards. • Creating relevant report from database for stakeholders. • Ensuring that all the vehicles are ready to be used without any deficiencies. • Ensuring that there is no deficiency related to vehicle operators and documents. • Follow up repair & Maintenance procedures & quality for all BAT vehicles until asset being ready to use. • Follow up insurance company procedures & quality for all BAT vehicles until asset being ready to use. • To have sufficient information on EHS matters and risk assessment to manage EHS issues of self and relevant region effectively. • Provide positive contribution to the EHS by regular and timely reporting of EHS related matters & encourage involvement of the relevant region in continual improvement in all areas of EHS by refreshing training to users, checking standards & situation, etc. 3 Users driving skills check, Performance and reporting of test drive practice & defensive driving meeting for all new joiners. Implementing, controlling & monitoring same standards in real condition. • Assessment based on Defensive Driving Standards. • Recording related Docs. • Share the result with fleet HO team. • Follow up the results of the assessment. • Creating relevant report from database for stakeholders. • Weekly Update van Database & creating relevant report from database for stakeholders. Report Accident and incident directly to LM based on Fleet standards & procedures. Preparing comprehensive database of expenses. Managing GPS system: • Extracting report from relevant portal to realize situation • Creating report for internal & external stakeholders • Follow up repairs & services to ensure GPS devices are ready to use in all vehicles Expense Claim Checks: • Submit the expense in fleet database. • Update Van Document. • Creating relevant report from database for stakeholders. • Make sure all claims will be sent to HO in earliest time. •Monthly Finalize Van Database with maximum accuracy. Reporting BAT company cars kilometres for all regions. Follow up EHS forms and check the pervious errors. Updating Maintenance data base. • Ad hoc Fleet Ad hoc Projects (Van Door, Isolation, Van Transfer, etc.) follow ups. Following van's accident (repair shop & Insurance). Defensive Driving Evaluation (New Joiners & Whom Had Accident). Managing Defensive Driving Trainings (for new Joiners & Driver which determined by HQ to pass training). Checking And Following Parking Address for Who have Company Cars. Hand over & Take over company cars based on received guidelines, recording documents, posting documents to HO. Ensure full compliancy with BAT EHS Policy and legislation and to utilize international best practices to meet EHS objectives and targets.
Requirements
a. University Degree/ equivalent qualification. b. Knowledge of HR & fleet practices. c. English language at a minimum of intermediate level. d. Team leadership skills. e. Excel & word skills. f. Knowledge about Labor Law & SSO.
