Job Description
Mission:
● To provide coordination and support for the assigned properties including but not limited to maintaining documentation of transactions and contracts, maintenance, insurance, income, expenses, etc.
Role description:
● To collaborate with L&R in drafting the contracts for renting MTNIrancell’s assigned properties as well as resolving possible legal issues.
● To review property characteristics based on the agreed checklist of MTNIrancell properties for installation of BTS and governmental enforcements before handover.
● To coordinate with formal representatives of the justice ministry to assess market rent of properties /or characterize dimensions of land for enclosing or any legal inquiries.
● To support enhancing and improving procurement policies and procedures related to leasing concerns.
● To develop and maintain required databases records of the properties leased already but not limited to rental, property usage operation, lodger contact information, lease duration, etc.
● To provide and save all mandatory and supportive documents related to leased properties including but not limited to the property committee approval, lease agreement, payment slip, repairing cost proofs, lodger’s renewal /cancellation request, any letters addressed to tenant, etc.
● To review rental market fees and provide property operations manager with related reports for property committee‘s decision.
● To archive original lease agreements along with any supporting documents in the proper manner for further retrieval and control.
● To coordinate deposit and payment of assigned properties in a timely manner including insurance premiums, mortgage, taxes, municipality tolls fees, utilities, and all incurred operating expenses to ensure accurate payment.
● To prepare a maintenance plan for assigned properties including periodic inspection plan, necessary repairs, etc., and ensure proper maintenance is in place.
● To reply to the letters, any requests/queries raised by a tenant or other divisions such as the network group to resolve any issues such as access, repair end, etc.
● To ensure all rents are collected in a timely manner and escalate possible overdue to L&R.
● To coordinate resolution of legal and environmental issues or disputes between neighbors or tenants to resolve raised issues.
● To coordinate availability of access to assigned properties for all new or developmental projects.
● To periodically inspect all the properties, which are already leased /or desolate, to coincide with the lease case, inhabitant(s), and actual use and provide a visit report for further decision.
● To update and provide weekly /monthly reports of the lease to managers and the general ledger department.
● To control and do the payment of the cost related to staff's administrative missions, transportation, and other costs from petty cash.
● To negotiate lease contract with property applicant to finalize lease contracts based on procurement PPPs and property committee approval. This is in line with CPG requirements.
● To follow up property lease cases with L&R, finance, and CPG financial/commercial teams to control the lease rental or pay mental issues.
● To follow up the payment process of professional/or commission fee of official expert or real state agency to ensure the payment is accurately processed and done.
