Job Description

- Resolves administrative problems by analyzing information; identifying and communication solutions. Maintains rapport with customers, managers, finance team and employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; resolving problem situations. - Collaborating with clients or employers, finance teams and other team members on budgeting and allocating funds. - Delegating tasks to appropriate team members. - Scheduling. - Organizing. - Record-keeping. - Monitoring progress and preparing the report for procurement manager and project manager - Tracking paperwork. - Updating team members and partners. - Managing information flow. - Participate in all meeting with project manager, planning department and clients. - Respond to questions and provide information for project manager, planning dept. and clients. - Coordinate information requests in and out of procurement dept. - Coordinate tender processes and collecting of all data and prices - Provide and coordinate information to and from suppliers - Support staff in the use of procurement systems and processes - Answer queries, provide general advice and guidance around procurement systems, activities, policies and procedures - Provide high level administrative and coordination support to the Procurement team on a range of procurement services across the organisation - Provide initial/first port of call advice to members of the public, employees, and managers on all manner of procurement queries, referring complex enquiries to the relevant team member(s) - Procurement documentation including guides, policies/templates with guidance from the Procurement Advisor and Procurement Specialist - Support the Procurement team with the development and provision of standard reports and analytics - Provide training to new hires on procurement processes and systems - Undertake relevant duties as directed by the Procurement Specialist - Provide excellent customer service and ensure that a professional manner is maintained with customers at all times - Develop and maintain close working relationships with internal and external contacts as appropriate

Requirements

- B.Sc. certifications on Industrial engineering - Project control knowledge and capable to use MS Project software. - At least 5 years work experience in project works atmosphere. - A minimum of three years’ experience in a similar role - A keen ongoing interest and relevant experience in Sustainable Procurement and/or Corporate Sustainability - A high level of English language skills, both written and oral - A high level of numeracy - High level of computer literacy, with specific requirements for Word, Excel and Outlook - Working experience with procurement systems - Excellent computer skills using the Microsoft Office suite and databases - Sound analytical and problem solving skills - Sound written and oral communication, interpersonal and customer service skills and the capacity to deal confidently and courteously with people at all levels - Strong organisational skills, the ability to successfully complete several tasks concurrently, maintain high levels of attention to detail, maintain documentation and record keeping and meet deadlines - Sound judgement and initiative Accuracy and attention to detail Ability to multi task and learn quickly - Ability to work well under pressure within timeframes - A positive attitude - Ability to be professional when dealing with internal and external customers - A mature and methodical manner - Honesty and integrity - Ability to work well in a team or independently - A high level of integrity to maintain confidentiality - May require frequent travel within or outside Bay of Plenty region - Ability to work effectively and efficiently with the individual Purchasers to ensure that all procurement matters are dealt with in a timely manner. - Good planning and time management skills and the ability to prioritise workloads in accordance with corporate goals and objectives - Ability to negotiate and build relationships with vendors - Experience with data entry, database management, and reporting and compliance
