Job Description
● Managing the operations manager meeting and appointment schedules to ensure the smooth running of daily activities.
● Assisting HoOps with personal requests to ensure optimum use of his time on key business issues.
● Efficient and effective filing of documentation and electronic data/information according to record management policies and procedures.
● Accurate and speedy work to agreed deadlines.
● Preparing presentations.
● Drafting of letters and reports as appropriate.
● Answering and screening of telephone calls.
● Ensuring smooth function of the office in the HoOps absence initiating action whenever necessary.
● Planning, coordinating, organizing, and arranging all meetings, conferences, and events for the HoOps.
● Providing relocation advice and support to incoming and outgoing international staff:
● Organizing their look-see visit
● Doing offer assistance with schooling, housing, shipping, visa documentation, shopping, doctors, maids, etc.
● Raising purchase orders and undertaking invoice coding using the ERP system.
● Arranging the travel necessities of the Ops staff hotel, ticket booking, etc.
