Job Description

• Provides administrative support to staff and serves as a liaison between members and administration • Maintaining good relations with all managers and colleagues • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material. • Maintaining corporate files, preparing letters, reports and correspondences in professional way. • Perform any other duties defined by management for daily operation. • Receives external/internal calls and directs them accordingly • Answering calls, taking messages and handling correspondence • Maintaining diaries and arranging appointments • Typing, preparing and collating reports • Managing databases • prioritizing workloads • implementing new procedures and administrative systems • liaising with relevant organizations and clients • coordinating mail-shots and similar publicity tasks • Logging or processing bills or expenses • Schedule meetings and arrange conference rooms. • Alert manager about cancelations or new meetings. • Manage travel and schedule. • Handle information requests. • Prepare correspondence and stuff mail into envelopes. • Arrange for outgoing mail and packages to be picked up. • Prepare statistical reports. • Manage spreadsheets. • Greet and receive visitor. • Prepare confidential and sensitive documents. • Coordinates office management activities. • Determine matters of top priority and handle accordingly. • Prepare agenda for meetings. • Helps prepare office budget. • Plans events and volunteer activities. • Maintain office procedures. • Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records. • Operate office equipment, such as photocopy machine and scanner. • Coordinate committees and task forces. • Relay directives, instructions and assignment to executives. • Receive and relay telephone messages.

Requirements

• At least B.S. degree • Minimum 3 years of experience in related fields • Excellent attention to details and accurate working • Adaptable & worthy behavior • Preparing official letters • Attentive and responsible with strong personality • High organizational skills and ability to manage several projects at the same time • Proficiency in windows, including MS Word, EXCEL, Outlook • Ability to conduct research and present data in a sufficient and well written manner • Ability to coordinate multiple activities enough language skills • Excellent time management and perfect attention to details • Energetic, learner, team player, hard worker • Ability to work autonomously • Very strong interpersonal skills • Gender Preference: Male/Female • Job Location: NazarabadAlborz • Candidate should be based in Hashtgerd/Nazarabad
