The objective of the role:
As Country Manager Assistant you are the cultural ambassador for the company, acting in a professional and exemplary manner, leading company-wide administrative project initiatives. You will support the country manager and enabling team with a variety of highly sophisticated and ambitious administrative and operational activities.
List of responsibilities:
● Act as the primary point of contact for internal and external matters regarding CM to ensure all urgent issues are dealt with.
● Assist CM with daily administrative duties and complete a broad variety of tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging detailed travel plans, consolidating presentation slides, and compiling documents for meetings, etc.
● Organize and coordinate logistics with high-level CM meetings both internally and externally, including department team meetings, strategic activities, video, and teleconferences, etc.
● Provide necessary support for CM projects by conducting research and assembles materials needed for the projects, maintaining schedule and efficacy, overseeing project goals, creating and delivering reports, analyzing data from the project, and following up the completion of assigned duties with employees.
● Create and update databases and guarantee timely management of the CM information according to Roche document management guidelines.
● Assist supporting function chapter heads (Finance, Legal and Compliance, P&C, etc.) administratively.
● Prepare budget planning files and expense reports regarding CM function activities.
● Organize travels and meetings in cooperation with the travel desk and external parties if needed.
● Coordinate regular meetings (such as weekly Enabling Team meetings), between the CM and direct reports and create MOM for future references.
● Liaise with Roche Global and Regional senior management to ensure responsiveness to business-critical matters.
● Make necessary arrangements for international assignees, foreign guests, and visitors coming to Iran (eg. travel arrangements, booking of appointments, etc.).
● Maintain confidentiality in all management-related issues.
● Respect and guarantee compliance with all relevant Roche guidelines and policies.
