Job Description

● Act as the first point of contact for the CEO and Chair. ● Plan the CEO's schedule and Prioritize inquiries and requests. ● Maintain short, medium, and long-term diaries for the CEO and Chair, making necessary travel, meeting, and other arrangements for appointments. ● Maintain the CEO’s contacts, journal, and maintain a network. ● Organize, and make administrative arrangements and planning for internal and external meetings including determining the time and place, and ensuring the CEO and Chair (where required) are fully briefed for meetings. ● Provide high-level secretariat support to key internal and external meetings involving the CEO and Chair, including preparing agendas, ensuring background materials are received, coordinating or writing papers, producing minutes, and ensuring follow-up actions are progressed. ● Attend meetings, ensure in advance that meetings have clear objectives and agendas, and take and distribute notes and action items. ● Follow through with allocated tasks and track commitments of others to the CEO, helping ensure blockers are removed and deadlines are met and ensuring appropriate and timely action on deliverables. ● Ensure the CEO's schedule is followed and respected. ● Prepare and maintain documents, reports, and presentations, drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company. ● Prepare correspondence, reports, memos, and presentation material as required, noting the need for accessibility in all documentation from all sources.

Requirements

● Excellent interpersonal, diplomatic, and oral communication skills. ● Able to work with versatility, meeting unexpected, very tight deadlines on occasion, being able to prioritize as required, and being able to work autonomously. ● Work flexibly, occasionally having to work early or late and be away for occasional meetings/events as required to fulfill the demands of the role. ● Experience in taking minutes and circulating meeting papers. ● Fluent in English.
