Job Description

Objective of the role: professional management of stuff of managing director office including but limited to: - Answering, screening, and forwarding telephone calls. - Pre-discussion, overall negotiation of suppliers/employees/ departments managers/ customers in order to cluster and filter for MD - Scheduling meeting, visits, appointments and telephone calls of MD - Prioritizing of tasks of MD - Copying, filing, and maintaining documents and records. - Greet, welcome and direct guests and visitors in-person and on the phone - Answer inquiries from the employees, organize and route them to MD and collect them back and distribute them to destinations - Update appointment calendars, schedule meetings and appointments - Receive mail and packages, sort, organize and distribute appropriately - Monitor and maintain office equipment - Maintain inventory of office supply stock for the office - Order and organize food and beverages for meetings, take notes during meetings - Monitoring of agreed action plans with suppliers and department managers - Planning of managing director visits, appointments, meeting - Monitoring of his agreed action plans with other processes departments - Scheduling of his interactive tasks with subordinates, customers, domestic and international suppliers/principals -Receipt ,and dispatch of correspondences from internal and external sender and receivers. - Organization of electronic and physical archives of documents and correspondences. - preliminary negotiation and discussion with employees/customers/suppliers in order to filter them in an acceptable level then report necessary messages to MD for dedication of a phone call or assignment of a meeting time for them. - Prioritizing of daily tasks of MD and reminding him with missed tasks - Arranging an effective electronic reminder for MD - Warm and respectful Welcoming and receipt of guests of MD and arranging corresponding receipt and entertainment to the level of Guests - Follow up of MOM and circulation of orders and action plan among recipients - Reminding MD with regular and occasional important events including vacations, exhibitions, and memorial days Reporting to: Managing Director. Subordinates: Company service persons and coordinators . Length of Probation Period: 2 Month. Working hours: Saturday to Wednesday: 8:30 -17:00 and Thursday: 8:30 -12:30. Travel requirements: NO.

Requirements

- Being Patient, Self-motivated, Energetic, flexible, friendly and positive in communication, punctual, accurate, tidy, good looking - Independent in task accomplishment - Having a fast typing speed, word processing, spreadsheet - Able to handle multi-line phone system - Qualified in handling emails and internet research knowledge - Having ability to foresee office Issues to limit them to a manageable level
