Job Description
• Provides administrative support to staff and serves as a liaison between Division members and Administration
• Coordinates arrangements w/HR and Administration for incoming staff and visitors, such as office setup including email and telephone information for Novinchoob’s people pages
• Managing an active calendar of appointments, preparing correspondence, responding to inquiries, calls and emails, screening and prioritizing communications and opportunities from external and internal sources
• Organizes and coordinates all aspects of events, conferences, workshops and seminars for Division members
• Receives external/internal calls and directs them accordingly
• Supports staff recruiting, collecting CVs and enrollment under the guidance of the Director of HR
• Manages filing for all kind of records
• Maintains a system of confidentiality in records access
• Maintain and update all staff and business partners contact/demographic information
• Manages internal/external room reservation calendar and requests
• Receive and open packages to confirm contents
• Provide seamless and perfectly orchestrated travel arrangements (ticket, accommodation and transportation) for out of city/country visits, conferences, and meetings
