Generic responsibilities:
● Ensure compliance with NRC policies, tools, manuals, and guidelines.
● Supervise and follow-up the phases of Admin tasks and office management.
● Prepare and develop periodic status reports and other documents.
● Supervision of admin staff, receptionist and outsourced cleaners team under supervision.
● Daily monitoring of progress in the implementation of the different admin tasks.
● Ensure training and transfer of key skills to team under supervision.
● Promote and share ideas for improvement of the administration function.
● Liaison and collaboration with relevant local authorities and internal stakeholders.
Specific responsibilities:
● Develop office policies and procedures, and ensure they are implemented appropriately.
● Oversee and support all administrative duties in the Tehran office and Tehran guesthouses to ensure that office is operating smoothly and managing maintenance.
● Responsible for Tehran office premises budget and petty cash, and ensuring necessary availability for premises accommodation, maintenance, office supplies, and service suppliers.
● Coordinate in the office layout planning and office moves, and with managing and maintain infrastructure.
● Overall office Management of Tehran office including office repairs and maintenance.
● Admin and quality control of office facilities, including technical facilities (including various subcontractors such as landlord, cleaning, etc.).
● Monitor travel and manage visa and residency processes for the whole country.
● Manage expat affairs including but not limited to lease agreements, accommodation bills etc.
● Responsible for all Tehran office and guesthouse keys safeguarding and management. Manage office access in collaboration with HR, ICT, and HSS.
