Job Description

Gity Ara Pars company needs an experienced CEO's assistant whose duties are as follows: ● Plan, coordinate, and hold CEO programs and meetings. ● Design and prepare required management reports. ● Carry out administrative correspondence. ● Carry out office work, setting minutes of meetings, meeting agendas and preparing required documents. ● Coordinate between the CEO and executives, employees, customers. ● Transmit messages and information with high precision to the CEO and answer and report the information. ● Manage and arrange CEO meetings. ● Prepare all the information in emails, reports, telephones in the specified format. ● Carry out correspondence and calls in direct communication with the CEO. ● Organize and maintain the administrative filing system related to the CEO. ● Coordinate travel arrangements for the CEO. ● Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in line with the organization's goals. ● Control incoming phone calls, receive and send detailed messages, respond to requests. ● Prepare conference room and audio/visual needs for meetings. ● Responsible for the company's fund. ● Manage complex and ever-changing day-to-day schedules of the CEO via Microsoft Outlook, scheduling and organizing meetings across multiple time zones. ● Correspond with internal and external partners (candidates, vendors, etc.,) on behalf of the CEO. ● Oversee personal and departmental expenses submitting all necessary invoices in concur in a timely manner. ● Direct Manager: CEO. ● Probation period: 3 months. ● Working hours: Saturday to Wednesday from 9 am to 5 pm; Thursdays from 9:00 am to 1:00 pm. ● Bonus and benefits: Negotiable.

Requirements

● Significant experience working in Microsoft Outlook or Gmail. ● Significant experience in working with project management programs and Google Calendar. ● More than ten years of work experience as an executive assistant to C-suite members and/or executive leadership. ● A person with morals. ● Strong communication skills. ● Creativity and talent in solving problems. ● Responsible, orderly, and very precise in doing assigned tasks. ● High accuracy and attention to detail. ● Proficient in Microsoft Office and preferably an ICDL certificate. ● Ability to do group work. ● Persistent, hardworking and dynamic person. ● Having strong public relations and communication skills. ● Highly motivated and creative. ● Familiar with English. ● Work discipline. ● Bachelor's or Master's degree in Management, English Translation/Literature, or an MBA graduate. ● Communication skills. ● Ability to do group work.
