Job Description

● Preparing and analyzing financial system reports. ● Archiving administrative records and correspondence. ● Organizing all administrative support for all of the departments. ● Providing support in creating materials for clients’ meetings including presentations, report writing, and publishing. ● Organizing and supervising lunch services and other events. ● Maintaining schedules and event calendars for directors and checking for overlaps. ● Allocating conference rooms and office space for meetings, events, conference calls, etc. ● Providing full support for guests (local or international) such as handling their accommodation and transportation needs, etc. ● Organizing entrance and departure of employees, especially during non-office hours. ● Monitoring and authorizing employees' leave days with a liaison with the HR department. ● Supporting outsourced contracts related to administrative responsibilities, office design, website, etc. ● Maintaining an up-to-date record of company contacts including their phone numbers, faxes, and addresses. ● Organizing IT, network, and technology needs of the company. ● Managing all matters regarding the building and office maintenance. ● Performing other duties as assigned. ● Solving and answering customer questions and queries. ● Providing general administrative support such as preparing and composing correspondences, arranging meetings, tracking deadlines, forms and reports, filing electronic and hard copy, invoicing, following customers’ inquiries, assuring receipt of items against customer inquiries, and delivery of the items to the customer. ● Assisting warehouse team to prepare and packing customers’ orders and arranging their deliveries. ● Answering calls, handling incoming and outgoing correspondences, fax, e-mails, etc. ● Managing office-related affairs and communications, routine tasks, and schedules. ● Prioritizing workloads. ● Implementing new procedures and administrative systems. ● Performing any other duties defined by management for daily operation.

Requirements

● Having sales experience. ● Bachelor's degree. ● Minimum 3 years of relevant experience. ● Organizational abilities. ● Excellent knowledge of Microsoft Office (Word and Excel). ● Well organized and have excellent time management skills. ● Multitasking skills by time management. ● Perfect attention to detail. ● Teamwork minded. ● Disciplined and punctual. ● Honesty and discretion. ● Excellent typing skills in both Farsi and English. ● A good listener and active in the work environment. ● Positive attitude toward colleagues with strong communication and interpersonal skills. ● Hard worker and professional. ● Remain calm under pressure. ● Intelligence, responsible, and reliability. ● Gender preference: Female. ● Ideal age range: 22 to 32 years old.
